Company home and company docs
The team noticeboard, who’s in today, things to do, company docs and goals.
What it is
Company home (in the menu under Today) is the team's front page. Everyone sees the noticeboard, who's in today and who's off, what's waiting for them, the company docs, and any goals. The owner and managers set it up; everything on it is your clinic's own.
Announcements
Managers press Post an announcement: a title and a short message. Pin to the top keeps it first. Everyone confirms they've read it adds an I've read this button and puts it in each person's For you list until they do. Show until takes it down after that day. Keep it short (longer guidance belongs in an SOP) and never put patient details in one.
Photos on announcements
Add up to six photos to an announcement: Take a photo (on a phone or tablet) uses the camera, Add photos picks them from your device. They're made smaller before they're sent (iPhone HEIC photos too, where the browser can open them; otherwise choose a JPEG or PNG), and the location your phone saved in them is removed. Each one uploads as soon as you choose it, and the × takes it back off. On the noticeboard, tap a photo to see it full size; the arrows move between them. Managers can remove one photo there with Remove photo; taking the announcement down deletes all its photos. Photos are for the team, so never one of a patient, their notes or anything that could identify them.
Who's read it
Under each announcement, Read by (or Confirmed by) shows how many of the team have seen it and who, with their photos. Someone counts as having read it once Company home has shown it to them. Managers also see who hasn't yet, to chase them. The pin and bin icons pin, unpin or take an announcement down.
Who's in today
From each person's diary hours (Settings → Team), extra sessions and approved leave. Half days off are marked. Colleagues see only that someone is off; managers and the person see what kind of leave.
For you
Announcements to confirm, SOPs to read and sign, training to do or renew, certificates expiring in the next 60 days and, for a new starter, the files for their onboarding steps. Each links to the right page.
Company docs
Company docs holds the documents the team needs to hand: your rota, handbook, brand guidelines, price lists or suppliers. They stay where they already live (Google Drive, Dropbox, OneDrive or a website) and open from here in a new tab, so nothing is copied. Managers and the owner add them on Company home, on an SOP, or on a step in Staff → New starters → Role templates (new starters then see that step's docs on their checklist).
To add one, press Add a link and give it a name and its web address: any link that starts with https, or just the address (such as www.dropbox.com/…). Share the document with your team where it lives, since that's what decides who can open it. Press the cross beside a doc to take it off; the document itself isn't touched.
Picking files from Google Drive
If your clinic uses Google Drive, the owner can connect Google in Settings → Integrations (if it was connected for Google Calendar before Drive was added, press Connect Google again there). Managers then also see Add from Google Drive under Company docs, and choose files or folders in Google's own picker.
Only the files you pick are shared with Hally, and only their name, type and link are kept. They open in Google, where Google's sharing still decides who can see them. Removing a file here doesn't delete it from Drive. If Google says the connected account can't open a file, share it with that account first.
Goals
Managers add optional goals with a progress bar under Goals. Goals only show to everyone once there's one.
Patient documents
Patient letters, photos, forms and notes belong on the patient's record in Hally, never in a shared folder: that's where they're protected, in the access log and in the patient's export.
