Meeting notes, actions and the task board

Notes where @name lines become tasks, regular meeting templates, and the board.

Writing meeting notes

Tasks & meetings in the menu → Meetings → Start notes. Give the meeting a date and tick who came. Notes are plain text: `# ` for a heading, `- ` for a bullet and `- [ ] ` for a checkbox (the toolbar adds them). The panel beside the notes shows which lines will become tasks as you type.

Actions become tasks

Start a line with someone's name, like `@John order insoles by Friday`, or put a name in a checkbox (`- [ ] Ring the courier @Robyn tomorrow`). When you save, it becomes their task, linked back to the meeting. Use a first name, or the full name if two people share it; `@Reception`, `@Admin`, `@Clinician` and `@Manager` give it to anyone in that team role.

Dates count from the meeting day: "today", "tomorrow", "ASAP" (also high priority), "by Friday" (the next Friday), "next Friday" (the Friday of next week), "this week", "next week", "end of the month", "in 3 days", "in 2 weeks", "12/11", "12 Nov". With no date, it's due a week after the meeting, at 5pm.

Anyone can give a task to a role, themselves or someone who came. Only managers can give one to someone who wasn't there.

Keeping them in step

Edit a line and its task changes too (a new title, person or date). Tick its box and the task is done; untick it and it's open again. Delete the line and the task is removed. Finish the task on the board or the task list and its line is ticked in the notes.

Regular meetings and carried-over actions

For a weekly team meeting, make a template (Meetings → Templates): its name, who usually comes, an outline for the notes and, if you like, a project for its actions. Each new meeting from it starts with that outline, plus a "Carried over" list of the last meeting's actions that are still open. They're the same tasks, not copies, so ticking one in either meeting finishes it.

Patient details

Meeting notes are for running the clinic, not for patients. If the notes look like they hold a patient's email, phone number, postcode, NHS number or date of birth, Hally warns you: keep those in the patient's record.

The task board

Tasks & meetings → Tasks → Board shows tasks in columns: To do, Doing and Done, plus any your managers add (such as "Waiting on supplier"). Drag a card to move it. With a keyboard, Tab to a card's handle, press Space to pick it up, use the arrow keys to move it, then Space to drop it (Escape puts it back); a screen reader reads out where it is. Moving a card to Done finishes the task; moving it out reopens it. Done shows the last 30 days.

Filter by person, project or label. A project groups tasks with a goal, like a roadmap or a refit; the whole team can see a project's tasks unless one is about a patient. Add labels and a project when you make a task, or from the task itself.
