Categories and cancellation reasons
Your own service and product categories, diary colours and cancellation reasons.
Your own lists
Settings → Categories holds four lists that are yours to change: service categories, product categories, cancellation reasons and file types. New clinics start with a list to suit their profession; change any of it.
Where categories are used
A service's category groups it on your booking page, colours it in the diary (the colour key above the diary follows your list), decides what a membership plan's included appointments cover, and splits Reports into Revenue by category. Product categories group what you sell and decide the member discount. Cancellation reasons are offered when the team cancels an appointment in the diary, and counted in Reports under Cancellations by reason. File types are offered when someone adds a document or clinical photo to a patient's record; Works like says whether a type is for documents, photos or both (see Patient files and clinical photos).
Adding, renaming and reordering
Add one at the bottom of its list, with a name and a colour. Press Edit on any one to rename or recolour it: the new name shows everywhere straight away, including past appointments, plans and old weeks in Reports, because everything points at the category itself, not its name. The arrows move one up or down; the order is the order on your booking page and in the diary's colour key.
Works like
Some things Hally does depend on what a category is for, not what it's called. Works like tells it:
- Surgery and injections: only clinicians signed off for nail surgery (Staff → Training) can be booked for it, and it starts a surgery note.
- Routine care: counts towards rebooking prompts and routine membership suggestions.
- First appointments, MSK and the others choose the clinical note a visit starts with.
- For products, Footwear gets the footwear member discount (Settings → Booking policy).
You can also choose exactly which clinical note a category starts, whatever it works like.
Archiving
Archive a category you no longer use. It stops being offered for new services, products or cancellations, but anything already in it keeps it, and old appointments and reports still show its name. Archived ones are listed under the list, with Restore to bring one back. Each list keeps at least one.
Importing
When you import services or products (Settings → Import data), a category column in your file is matched to your categories by name. One you don't have yet is listed before you import and added for you, ready to recolour or rename. With no category column, each service goes in the category its name suggests.
