Stock and reordering

Counting products at each site, deliveries, stock-takes and reorder tasks.

Getting started

New sale in the menu → the Stock tab (owner and managers; reception can see counts and record deliveries). Your products come from Settings → Services & prices. In Products and suppliers, press Count it for each one you keep on the shelf, or import your stock sheet there: any spreadsheet (CSV or Excel) with each product's name and how many you have, plus its site, reorder level and quantity, cost price and supplier if you have them. You can choose which column is which; your choice is remembered.

How counts change

Sales take stock off by themselves once they're paid, at the visit's site (or the site chosen on New sale), and a refund that reopens the bill puts them back. A package's products come off when you mark them as given on the patient's record. Everything else is recorded on the Stock page: Receive a delivery, Stock-take (type what's on the shelf; a difference needs a reason), and Move or write off (between sites, or damaged and out of date). Every change is kept in History with who, when and why, and can't be edited: to put a count right, do a stock-take.

Reordering

Set a reorder level (and how many to order) for each product at each site in Products and suppliers. When a count drops to its level, one task to reorder it goes to the team role chosen under Who reorders (Managers to begin with), with the supplier's details and how many to order. It won't be raised again until the stock is back above its level; recording the delivery closes it. Low stock lists everything at or below its level.

Stock value

The owner and managers see the stock's value at cost, from each product's cost price (entered with a delivery or in Products and suppliers). Products without a cost price are counted separately.
