Switching from another system
A step-by-step plan for moving patients, appointments and notes across yourself.
Bring your data across free
Importing is included on every plan, and you do it yourself with the step-by-step importer in Settings → Import data: no waiting for anyone, and nothing to pay.
What moves across
- Patients: names, dates of birth, contact details, addresses and GPs.
- Appointments: past visits for history and reports, and future ones so the diary is ready.
- Clinical notes: one row per note, kept as signed notes on each patient's record.
- Services, products, stock counts and training records, any time.
What doesn't
Saved cards and Direct Debit mandates belong to your old payment provider and can't be copied: members set up their Direct Debit again through your Stripe account. Past payments stay in your old system or your accounts; imported visits count at their price in reports.
Step by step
1. Export your patients, appointments and notes from your current system as CSV or Excel files. 2. In Settings → Import data, import patients first, then appointments, then notes. 3. Check the suggested column matches and fix any that are wrong. 4. Read the check: it shows what will happen, and any rows with problems, before anything changes. 5. Press Import. If something looks wrong, undo the import in one step and try again.
Running both for a while
Take new bookings in Hally from your chosen day, and keep the old system read-only until you're happy everything is across. Import any appointments booked in the old system in the meantime.
